While everything might seem and sound grand, you may still be asking: “how does this work?” The good news is that it is quite simple.

 

Tailgreeter’s platform is designed to make hosting an event easy with an app that makes the following possible:

  • Updating tailgate location
  • Easily check-in guests in via QR codes 
  • Accepting digital payment and getting paid through Stripe

 

Listing a tailgate is free and you get all of this technology for only a 10 percent fee from every ticket sold.

 

After creating a free account, you can proceed as a Guest or Host. 

 

As a guest, browsing tailgates around the country is as simple as scrolling through the listings or using our search bar to sort tailgates by location, or team. Each tailgate listing is loaded with information about specific offerings like food, drinks, and music so that you can pick the one that matches you. Then, once tickets are purchased, your profile will be sent a QR code ticket! On the day of the event, show up to the tailgate, get scanned in, and enjoy the ride!

 

As a host, listing the tailgate is pretty easy as well. Following the step-by-step instructions only takes a few minutes and allows you to personalize your listing to ensure people know exactly what they’re in for. As tailgaters purchase tickets to your event, they populate in your guestlist your tailgate. At the event, when the guests show up, you use the camera on your phone as a scanner and scan their QR codes.

How to Scan a QR Code:

This app was designed to be simple and easy. Have no fear in three simple steps, we’ll have you scanning tickets!

 

  1. Open the app and select the profile tab, you will see a QR code in the top right corner, click on it. See Below:

 

 

  1. Once in the QR code Scanner section, you will see two options. Choose the Tickets option



  1. The app will ask permission to use the camera, grant it and then you are ready to start scanning QR codes.

How to Tell Different Types of QR Codes:

The Ticket will clearly state its Tier if it has one directly on the QR code.

Results Of Scanning A QR Code:

  1. Accepted: This QR Code is Good and the person can enter.
  2. Code Already Used: This QR Code has been used already, so ask the person if they have a different code.
  3. Invalid: This QR code is not for your tailgate. This code may cause your reader to freeze.

Welcome to another “how-to” from your friends here at Tailgreeter. Today, we’re discussing dropping a pin to pinpoint your location using the official Tailgreeter app on your smartphone. We had a lot of fun as kids searching for Waldo, but you do not want to be Waldo! As a host, you want to be more like Terry Bradshaw: you’re everywhere and even when people aren’t looking for you, they know where you are.

 

Dropping a pin is like putting up a Las Vegas hotel sign, or writing your name across the top of your building, but it’s much easier and costs you nothing. Here we go:

  1. When you get to your tailgate location, open the app on your smartphone.
  2. Go to the "My Tailgates" tab at the bottom of the app, click on hosting and choose today’s tailgate.                               
  3. Next to the address, you provided, right above the map, there is a big RED button with an icon that says “Drop a Pin.” Click the red button at this point, your phone may ask you to allow location services. Please so.                                                       
  4.  A window will pop up asking if this is where you would like to prop the pin. After double-checking, that the pin is in the right location and hit "Drop a pin" again.                                                                                                                                                     

 

That’s it! Your guests will now have an updated, pinpoint location of your party, making you the easiest Waldo to find in the history of Where’s Waldo. Congratulations!

When guests arrive on the Tailgreeter platform, most will search for the tailgate Follow these tips to make it easy for them to find your listing. 

 

  • In the Listing Title, include the city name because most people will start their quest by writing in the city. It is a lot like sports teams: Denver Broncos, New York Jets, Tampa Bay Buccaneers, etc.

  • Who is playing? Include both team names! Guests will be searching for their favorite teams, most likely, so broaden your horizons and welcome your rivals to the best party in the lot.

  • Do the teams have nicknames or abbreviations of their name? Use them! In Chicago, we use “Monsters of the Midway” and “Chi,” and colleges like Penn State, Florida State, and Miami might use “Linebacker U, Tight End U, Noles The U, PSU, or FSU”

  • Does either team have a famous cheer such as “Who Dey” or “Skol” that will help too?

  • Does your group have a name or is a Superfan associated with your tailgate? Include that in the listing too as a way to differentiate yourself from other tailgates at the same venue.

 

These tips will help you be seen and thus grow your tailgate to truly epic proportions. See you in the lot!

Adding a Co-Host

 

One of the great features of the Tailgreeter app is the ability to add a Co-Host. The Co-Host is able to scan QR Codes but does not have access to other tailgate information such as the guest list, the listing, or the ability to drop a pin. This feature allows Hosts to have someone else run the door without giving them access to information that they don’t need.

 

How to set up an employee as a Co-Host:

 

  1. Go to https://tailgreeter.com/co-hosting, which is located under the profile drop-down menu.
  2. Search for your employee’s email address.
  3. If the search returns a result click Assign and Confirm. 
    1. If not click the Send him an invitation link, which will send them an invitation to register, and insert their email address. Once they have registered, select them and proceed by Assigning and Confirming.
  4. Your employee will receive an email notifying them that they are assigned as a co-host and they are ready to scan. 

 

Follow the instructions on Scanning 101 to scan guests' QR Codes and if the guest can’t find their tickets then the Locating Lost Tickets .





PS: If the employee receives an invalid QR code response have them sign in and out of their account

Locating Lost Tickets:

 

Technology is hard for most people, so expect your guests to struggle to find their tickets. You will be their guide, their only hope, their Obi-Wan Kenobi. In all seriousness, you’ve got this, but in case they get lost, we’re here to help.

 

The App, The Easy Way:

In this scenario, the guest downloaded the app and asks for help finding their tickets.

  1. Ask them to sign in.
  2. Have them click on the “My Tickets” tab at the bottom of the screen (Circled in yellow).                                                                                                                 
  3. Have them select your event from amongst their tailgate tickets.                                                                                                                                                       
  4. Scan their ticket and ask if they have any additional tickets.                                                                                                                                                                           
  5. If they do click on the remaining tickets and scan those tickets. The first ticket will be the ticket that you previously scanned, so skip that one.                           

 

Shared Ticket:
Shared Tickets are only available on the app, to speed check-in and ensure the new guest accepts our terms of service, which grants greater protection to our hosts. If someone, shared a ticket with a guest, then they need to register and download the app. Follow the instructions above.

 

No App, No Problem:

Some people don’t like downloading apps, which is just fine with us. We can access tickets through the mobile site.

 

Scenario 1: Guest is signed into Tailgreeter.

  1. Select the profile tab.                                                                                                                                                                                                                                           
  2. Select Tailgates from the dropdown menu.                                                                                                                                                                                               
  3. Once at the tickets tab have the guest select your event and

Scenario 2: Finding the Ticket through their email:

  1. Ask the guest to find the booking confirmation email by searching "Wallee Booking Confirmed" and select that the email.                                                                   
  2. Once you are in the email click on View Event:                                                                                                                                                                                                   
  3. This will take them to this login screen, where they should sign in. After they are signed in, they will be redirected to the tickets tab.
  4. All the tickets should be visible under the tickets tab, after they select their event.                                                                                                                                       





Guest Checkout:

In this scenario, the guest will have been sent their tickets via email and do not have an account to sign into. This is how all walk-up sales will occur as well.

  1. Search for [email protected], which should result in the email popping up.
  2. Search their spam for [email protected].
  3. Ask them if they could have signed up using a different email address.
  4. Check that email’s spam.

Walkup mode is an incredible new feature that allows hosts to sign up passerbys, which allows the seamless processing of credit cards combined with the security of accepting the Terms of Service provided by using the Tailgreeter platform. 

  1. Click on the Download QR Code button and you will be given a QR code and instructions on how to buy a ticket.


  
       2. Print out or take a screenshot of the image and tell guests to follow the instructions.


       
      3. Instruct guests to use the new "Checkout As A Guest" option when they reach registration.     

      

       4. After purchase, guests will be sent an email with a QR code for every ticket that they've purchased.

       5. Scan per usual and they are good to go!
